Reporting to the Team Lead, Project Administration, Project Delivery, the Project Administrator plays a crucial role in providing valuable administrative support to various project areas. Responsibilities will encompass a range of duties, requiring a sound understanding of departmental procedures and a proactive approach to project support. This role involves utilizing advanced PC applications, including spreadsheet creation, maintenance, and analysis, to enhance project processes and outcomes.
Major Responsibilities:
Support the Project Delivery teams in all areas of project administration, including project setup, Project Labour, Equipment, Materials, and Services (LEMS) receiving, reporting, permit requests/approvals, and administration for contracts and agreements
File, maintain, and transfer project documents and artifacts utilizing multiple systems of record
Manage the document control process as well as other areas of SharePoint functionality including access, updates, and improvements
Review and process customer information such as payments, refunds, cost letters, and other correspondence
Proactively plan and perform project data cleanup functions
Perform complex clerical and analytical tasks, such as reviewing and updating information in files, preparing reports, and maintaining records, to ensure accuracy and efficiency in project operations
Support project teams with presentations, meeting minutes, and compiling summarized findings for a variety of audiences including senior leadership
Utilize resources effectively to achieve maximum efficiency in performance of duties, contributing to the overall success of the team and project outcomes
Maintain awareness of clients’ and internal stakeholders’ operating environment, demonstrating understanding and responsiveness to their needs
Education Required:
Qualifications & Experience:
4 years administrative experience in a fast-paced, engineering / construction / project management environment
Ability to manipulate data in the system to enhance the process and results, available to identify and assist in the implementation of modifications to current systems
Have an in-depth knowledge in using systems and programs and serves as a resource to others for problem solving, training and coaching in the use of various hardware / software, ability to explain and demonstrate work processes to less experienced team members
A strong aptitude towards project management practices and processes
Working knowledge of MAXIMO combined with advanced skills in SharePoint and MS Office applications

Attention to detail, strong analytical aptitude, the ability to multi-task and work in a team environment is crucial to the success of this position
Experience working under tight project timelines with experience managing concurrent activities and applying disciplined time, priority and workload management essential
A positive attitude, strong work ethic, and a customer service approach
Problem solver mindset, able to manage difficult situations and be pro-active in your work
Effective communication (written and oral) and relationship building skills with the confidence to engage with internal and external stakeholders; building relationships based on trust, integrity, and professionalism
Ability to integrate plans and schedules with business needs to enable on-time execution

Salary: Administrator, Level C (Current CUPE 2024 rates)
$59,057.73 - $62,747.59 - $66,437.46 - $70,127.33 - $73,817.20

Location: This role will be part of our hybrid (home and office) work force with office workspace located at ENMAX Place (141 - 50th Avenue SE, Calgary, AB). You will work from home on Mondays and Fridays and in the office on Tuesdays, Wednesdays, and Thursdays.
