• Arrange and requisite pantry refreshments, stationery, office items, etc.
• Arrange and register courses for staff and workers.
• Updating staff and workers records,
• Arrange dormitory check-in and check-out for workers.
• Prepare a master list for Drawings, Documents, incoming & outgoing correspondences.
• Submission of documents, drawings, letters,s and creating transmittal.
• Maintain proper organization of filing system, storage of documents and information.
• Keep electronic filing and archive system for easy issuance, storage, retrieval, and management of documents to internal and external parties.

1. 1. Maintaining the master vendor file, receiving vendor invoices, coding or uploading invoices into account payable accounting system

Core responsibilities:

• Data entry for full set of accounts (receivables/ receipts, payables/ payments, payroll, etc.)
• Ensure timely submission of monthly accounts receivable/ payables aging for review
• Prepare payment documents
• Prepare tax invoices, send statement of accounts to customers and chase for overdue debts
• Perform month end closing of accounts including preparation of management accounts, bank reconciliations, and audit schedules
• Assist in preparation of GST reports for quarterly submissions
• Ad-hoc activities as assigned by executives/ managers e.g. opening of bank accounts, liaise with auditors / bankers / suppliers, assist with queries from other departments
