Duties consist of the following, but are not limited to:

• Record and transcribes meeting minutes, prepares agenda and keep the open issues tracking grid.

The Advanced MSA for Mental Health Service enters, manipulates, and retrieves information and data from the Vista and other clinical information systems as appropriate to the area assigned. They schedule and coordinate appointments for patients with various clinics, ensuring all treatment requested by the clinicians have been scheduled, and rescheduling appointments when necessary in accordance with VHA Directive 2010-027, Scheduling Outpatient Processes and Procedures. Coordinates the scheduling to avoid conflicts in different clinic schedules. Ensures appointments are timely and in accordance with physicians and clinician's requests. As part of the scheduling process the Advanced MSA will ensure preappointment letters and three follow reminder appointment calls are made as the action plan to address the Missed Opportunity Performance Measure for Mental Health Service. Receives telephonic requests for information and transmits requests to the appropriate physician and/or clinician. Assists clinic administrator and other personnel with workload accountability information such as the Encounter Action Required Reports, and Electronic Waitlists.

The Advanced Medical Support Assistants are responsible for answering calls received and are professional, courteous, and tactful in nature, and that responses given are appropriate. The incumbent will be responsible for developing, maintaining and monitoring standards for appropriate responses to patient requests for assistance. Ensures staff is knowledgeable of the services provided and are prepared to furnish information such as: telephone numbers, locations of offices and personnel and clinic hours of operation. Receives patients via telephone calls and visitors to clinics, as the initial point of contact, ascertaining the nature of the call or visit, obtaining identifying information, and determining the nature and urgency of the patient's request. Applies clinic guidelines concerning release of patient information. Refers patient to appropriate staff member as required. Verifies patient's eligibility for treatment. Interviews new patients to the clinic, determining nature of visit and providing information on appointment, clinic hours, and services. Refers urgent messages and patient results for immediate actions. Provides information regarding unit, clinic and hospital policies, procedures, and locations to patients, family members, staff, etc., or refers to other resources for difficult questions or concerns. Monitors and communicates delays in scheduled appointments to the appropriate staff and patients. Attempts to resolve complaints of a local administrative nature and refers other complaints to appropriate authorities. Sound judgement is required due to the volume of requests handles daily. Responsible for the clerical duties inherent in the admission, care and discharge of inpatients or the in processing, care and out-processing, of outpatients and guests. Notifies appropriate staff of the patient's arrival. Reconciles end-of-shift/end-of-day processing and reports such as documentation of daily no-shows and cancelled appointments. As required types routine correspondence, progress reports, memorandum and statistical reports using VISTA and Excel. Incumbent may also be required to perform various duties in making arrangements for travel. The advanced MSA is required to maintain the space utilization calendar for staff, scheduling and preventing double booking of clinical space for patient care based on staff schedules for the day and during leave of absence. The incumbent provides file and document management. Maintains all patients' records, either electronic or paper, according to regulation insuring each entry contains proper patient and health care proper identification. Correctly files original medical documentation in the patient record and copies of medical documentation into research files as necessary. The incumbent will perform duties as a timekeeper and will provide administrative assistance with Engineering work orders and non-ADPAC related computer work orders.

• Transportation workload forecasting, appointment and admissions scheduling, reviews documents for omissions and inconsistencies, enters information into automated tracking system.
• Performs work involving consult management, appointment scheduling and admissions scheduling.
• Daily responsibilities include collecting, compiling, and tracking data and statistical information in support of Veteran Transportation Service (VTS).
• Performs a basic analysis of the data and generates a variety of reports.
• Aggregates in-coming data from a variety of sources. Reviews documents, reports and/or applications for omissions and inconsistencies and ensures data entry is complete and accurate.
• Enters pertinent information into an automated tracking system. Receives DSS extracts to verify that the workload being captured in DSS is correct.

GENERAL OVERVIEW:

Under the direction of the provider and as a member of the health care team, assists in coordinating the examination, treatment and health care planning for patients. Assists with other office functions to support patient care and office operations. Follows all established protocols, policies, procedures and standardized workflows.

ESSENTIAL RESPONSIBILITIES:

• Using the team based approach, assists in the coordination of patient care under supervision of the health care provider.
• Prepares and rooms patients within the clinical practice setting according to standardized work flows. Accurately obtains patient vital signs, documents patient information, patient history, tobacco, and medication screening. May assist in the administration of depression screening tools. Completes annual wellness visit screenings. Reviews, updates and screens medication list in the EHR. Reviews social history with patient and updates record. If applicable, pends/''cues up'' orders for required age appropriate screenings, patient prescriptions, refills, or other orders based on AHN approved protocols.
• Performs back office testing following approved AHN protocols and policies.
• Assists providers with examination and procedures.
• May serve as a scribe with additional training.
• Provides follow up with patients at designated intervals via patient's preferred method (telephone, electronic, written) in accordance with provider instructions. Notifies patients of test results under the direction of provider in a timely manner.
• Prepares exam room for patient visit. Ensures adequate inventory of medical supplies. Ensures all patient treatment areas are at all times stocked with the appropriate supplies using established inventory standards.
• Cleans and sterilizes instruments per established AHN approved policy and manufacturer's guidelines.
• Accurately performs lab controls and equipment checks as assigned.
• Administers and accurately documents medications in accordance with policy and safe practice.
• Documents accurately in the electronic health record (EHR) according to established standards and work flows.
• Accurately performs clerical office functions and other duties as assigned.
• May require floating/travel between physician office locations.

QUALIFICATIONS:

Minimum

• High School / GED
• CPR certification
• Completion of a Medical Assistant Program OR 1 year of Medical Assistant OR 1 year in a direct patient care role, including vital signs. Candidate experience must align with expected clinical duties (i.e., injections, phlebotomy, EKGs)

Certification Requirements:

• Employees who have: graduated from a medical assistant program within five years OR proof of one year of work experience as a medical assistant in the last three years must complete certification training and/or attempt testing within 30 days of hire and must obtain certification within 120 days of hire.
• Accepted Medical Assistant Certification (NHA, AAMA, AMT, NCCT, AMCA)

Employees who have not met the above certification criteria may have the opportunity to sit for a company proctored certification exam when qualified.
