We are looking for an individual with a data-driven mindset who has a keen eye for data analysis. Estates Services is a busy but incredibly rewarding division within LTHTR, responsible for both reactive & planned maintenance across all of our sites. You will play a significant & essential part within the Estates Services structure, providing important information that allows the department to make key business decisions.
The role is critical to the maintenance and operation of the Trust CAFM system (FM First) and reporting systems. You, the post-holder will be responsible for; providing planning, data and organisational support in respect of the day to day management of the Trust CAFM system (FM First) and its estates functions. Ensure resources are utilised effectively to organise and carryout day-to-day breakdowns, Planned Preventative Maintenance, to diagnose and repair technically advanced faults, along with new work for all LTHTR NHS Foundation Trust sites as required
Some of the Main duties will include:
Endeavour to ensure that FM First is accurate and up to date such that the Trust can be assured that the information is accurate for internal and external assessment and benchmarking purposes
Provide advice and reporting on the data produced by such systems which will cover both building and engineering, management of hardware and software, and several database systems which are used to manage the maintenance processes for building and engineering functions.
Ensure quality and safety are paramount and the post holder is expected to liaise closely with all users of the system to ensure requirements are fully understood, agreed and delivered within tight timeframes.
Analysis of data and recommendations resulting from this need to be reported in appropriate ways to different staff groups.

Detailed job description and main responsibilities;
• Define and deliver metrics, reporting platforms, dashboards, and analytical models vital for tracking and managing the business
requirements.
• Responsible for carrying out analysis of the Trust CAFM datasets and conduct appropriate data validation.
• Provide analysis for large datasets necessary for decisions using actionable commercial insights (increased profit/decreased
cost/reduced Value at Risk) around key business concerns or opportunities. Identify, analyse, and interpret trends or patterns in data
sets.
• Ensure work is fully documented and referenced in line with agreed processes and formats. Execute verification and investigation
activities to identify root causes for data errors.
• Interrogate databases using a wide range of data discovery and analysis tools and techniques to check data integrity. Identify data
anomalies and communicate these, with potential solutions, to the relevant parties.
• Responsible for the co-ordination of all planned services for all the zones predominantly focussing on the Trust PPM delivery.
• To accurately record and maintain all information necessary to give accurate planning schedules reflecting operational queries relating
to planned maintenance.
• Support the building and engineering managers on the best practice methodologies associated with PPM planning and scheduling.
• Support the effective and efficient management of database change requests that input directly into the CAFM system. Liaise closely
with the Engineering and Building Managers to ensure that asset changes are supported by appropriate advice to deliver the correct
planned maintenance regime.
• Manage the recruitment, appointment, induction, training and retention of staff.
• Provide technical and managerial support to sub-ordinate staff, directly employed staff and contractors, other estates staff, and
consultants
• Participate and undertake the induction and monitoring of new staff and in the PDPR Process as both reviewer and reviewee.
• Manage and maintain accurate personnel records, including timekeeping, annual and special leave, sickness absence, overtime,
disciplinary and grievance
• Responsible for ensuring annual appraisals are carried out and that all staff training needs are assessed and monitored to ensure the
relevant statutory and desirable training to maintain quality and standards are received
• Responsible for ensuring compliance with all LTH Trust policies including sickness absence procedure, grievance, disciplinary,
appraisals, etc. in relation to direct employed labour
• Undertake risk assessments, method statements and standard operating procedures (SOP’s) and take the appropriate action to
minimise risks, in relation to legislation, policies and procedures.
• Arrange service interruptions, in conjunction with other staff within the Trust, ensuring all contingencies have been identified and
covered, supported by Risk Assessments, Method Statements and appropriate Permit to Work Systems. To review proposed
interruptions by outside agencies with regard to the effect these would have on the Trust
• Identify and evaluate areas for potential service improvement
• Lead team meetings, audits and inspections as required
• Make agreed and approved changes to own and others work within agreed timescales
• Responsible for producing, adapting, improving and implementing departmental policies as appropriate
• Organise, prioritise and adjust own workload in a manner that maintains and promotes quality and efficiency
• Work to enhance public confidence through the promotion of a professional, positive image, developing and implementing standards for
dress and behaviour.
• Support the introduction and maintenance of quality systems and processes.
• Work within the limits of own competence, levels of responsibility and accountability in the team
• Responsible for ensuring compliance with all LTH Trust policies including: Sickness Absence Procedure, Grievance, Disciplinary,
Appraisals, etc. in relation to Direct Employed Labour
• Responsible for the direct detailed involvement in the production of backlog and irregular maintenance proposals
• Responsible for ensuring work is carried out in compliance with all appropriate guidance and legislation, including CDM, asbestos
management, NHS HTM’s and HBN’s, British Standards, Building Regulations, etc.
• Provide estates data and assist in the formulation of the annual capital maintenance programme
• Assist in the management of resources in a way that maximises the benefits to the Trust
• Maintain accurate records in relation to various aspects of the department
