SUMMARY
The Administrative Care Coordinator supports the Nevada Army National Guard (NVARNG), the State Surgeon’s Office, and the Deputy State Surgeon. This position performs a variety of administrative and clerical functions in support of ARNG Medical Readiness for 3,500 Soldiers within the Organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties and responsibilities include the following. Other duties may be assigned.
Maintains the confidentiality of patient information in accordance with HIPAA regulations.
Provides administrative support services to include making phone calls, creating and answering emails, medical packet preparation, data entry, soldier tracking, and non-medical charting notes.
Tactfully handles all communications with Medical Readiness Non-Commission Officers (NCOs) concerning multiple issues involved with the soldier’s medical care and case management. Works closely with other offices within the NVARNG and civilian medical community on related medical issues.
Assists the Medical Case Manager – Non-Clinical to ensure medical records, vaccine records, mobilization jackets, dental records, and any other medical documentation is coded in the system and scanned into the Electronic Health Record throughout the soldier’s service. Finalizes records prior to the soldier’s discharge. Ensures record is filed into the hard copy medical record with a date stamp and operator initials.
Utilizes Government medical module systems to perform document collection and data entry functions under the direction of the Behavior Health Officer. Government medical systems are Medical Operational Data System (MODS), Medical Electronic Data (for) Care History and Readiness Tracking System (MEDCHART), and Armed Forces Health Longitudinal Technology Application (AHLTA).
Generates correspondence for signature by Government officials for notification to the soldier regarding aspects of their case.
Tracks separation history, pending discharges, and physical exams in order to facilitate the transition of the medical records either to another branch, component, or the Veteran’s Administration.
Inputs soldier’s medical information into MODS and MEDCHART to include but not limited to immunizations, eye exams, medical warning tags, hearing exams, and dental exams within 72 hours of completion of the medical information event.
Responsible for aiding in own self-development by being available and receptive to any training made available by the company.
Plans daily activities within the guidelines of company policy, job description, and supervisor’s instruction in such a way as to maximize personal output.
Responsible for keeping own immediate work area in a neat and orderly condition to ensure the safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.

EDUCATION/EXPERIENCE REQUIRED
High School Diploma or General Education Degree (GED) and a minimum of one (1) year administrative experience; or equivalent combination of education/experience. Medical office experience preferred.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
