The administrator is responsible for assisting in planning & executing all employee engagement related program / initiative, in charge of office admin service and support to all Malaysia based employees,
The core responsibilities include (but not limited to):
- Support and contribute to the overall strategies of the Company / Group
- Abide by the working Rules and Regulations of the Company / Group
- Actively promote the policies and procedure of the Company / Group
- Ensure timely reporting requirements are adhered to.
- Apply the current Operating Procedures of the Company and make suggestions and recommendations as to how they can be improved, rationalized, or simplified as per the Group’s Guideline and local authority compliance requirement.
Employee Engagement
- Identify and implement opportunities to improve the overall employee experience and increase engagement levels.
- Develop and execute programs that promote employee recognition, wellness, and work-life balance.
- Act as a bridge between employees and management, ensuring effective communication and resolution of concerns.
- Organize activities that strengthen employee relationships and morale.
- Stay informed about industry trends and best practices related to employee engagement and implement relevant strategies.
Recruitment &Training Coordinator
- Carry out the entire recruitment process pre-onboarding life cycle which includes researching and sourcing of candidates from the various platforms and channel si.e. market mapping, candidate referrals and networking.
- Coordinate interviews, facilitate, finalize agreements, and conduct new joiner induction.
- Use a variety of sourcing techniques as needed to obtain an adequate pool of well-qualified candidates.
- To build and maintain internal talent pipelines to support current and future business needs.
- Partnering hiring managers on all recruitment matters
- Generate recruiting metric and activity reports.
- Organize, facilitate, update and track training records and staffd evelopment.
- Assist in maintaining ISO documentation.
General Administration Support
- Attends to all visitors at Reception.
- Handles all the incoming faxes, emails & telephone calls in a professional manner and redirect daily.
- Arrange postal & courier services - incoming & out going mail and redirect daily.
- Office maintenance, refreshment/pantry replenishment arrangement
- Office printing & stationery replenishment arrangement
- Company Car (if applicable) – road tax and insurance renewal
- Coordination of logistics, transportation, hotel, food & beverage arrangement for Company’s activities
- Maintain the emergency contact list (local authorities, hospital, police station, etc.)
- Staff Expenses Claim Verification following the company’s expense policy.
- Coordinate and maintain database for telco, staffs record of insurance and medical cost.
- Obtain utilities billing in a timely basis (water, electricity, phone) via e-billing account registration
