JOB RESPONSIBILITIES

• assist in the daily preparation & data recording, including purchase order, invoices, receipts, payments, general ledger entries.
• verify and process invoices, accurate data entry key in, follow up payments and collections
• request and send monthly Statement of Account.
• managing expense claims and reimbursements.
• maintain proper filing, organize paperwork, handling confidential information securely.
• daily bank reconciliation to ensure accurate recording
• supporting month end and year end closing process
• to provide general administrative and clerical support to the superior as required

JOB REQUIREMENT

• Possess at least Diploma or Degree in Accounting
• At least 1 year(s) working experience in Automotive industry field is a bonus for this post.
• Required language: English, Bahasa & Mandarin (as the role requires candidate to liaise with our Mandarin speaking client and supplier).
• Positive attitude and willing to learn
• Able to perform with minimum supervision and independent.
• Ability to multi-task, organize, and prioritize work
• Able to start immediately / in short notice period is an added advantage

Requirements

Responsibilites

Employee Relations:

• Oversee employee welfare initiatives, including health and safety programs, employee assistance programs, and recreational activities.
• Oversee the operation and maintenance of the employee hostel & Company facilities including conduct regular spot checks and inspections.
• Address any issues or concerns related to the company facilities promptly and effectively.
• Coordinate with relevant departments or vendors for repairs, maintenance, and improvements as needed.

Handle Foreign Worker Applications:

• Manage the entire process of foreign worker applications, including hiring, work permit applications, and renewal procedures.
• Ensure compliance with immigration laws and regulations governing the employment of foreign workers.
• Liaise with government agencies, embassies, and relevant authorities to process work permits and visas.
• Maintain accurate records and documentation related to foreign workers' employment status and permits.

Recruitment:

• Assist in the recruitment process by posting job vacancies, screening resumes, and conducting initial interviews.
• Coordinate interview schedules and communication with candidates throughout the hiring process.
• Collaborate with hiring managers to assess staffing needs and develop effective recruitment strategies.
• Maintain recruitment records and documentation, ensuring compliance with hiring procedures and regulations.
• conduct until the end process of on boarding & off boarding .

Training:

• Support the planning and coordination of employee training and development programs.
• Identify training needs through employee assessments and discussions with department managers.
• Liaise with external training providers and coordinate training sessions and workshops.
• Track employee participation and training progress, maintaining training records and evaluations.

Additional Responsibilities:

Duties:

• To handle full set of accounting, ensure timely and accurate preparation of financial report and other related schedules.
• Coordinate and execute financial transactions and activities, such as bill payment, invoicing , etc.
• Assist in the credit control and collection of customer's payment, including sending reminder.
• Coordinating and oversee the overall conduct of audit exercise and liaise with internal.
• To prepare regular financial reports and to assist with the team during month end closing.
• To prepare monthly bank reconciliations and reports
• Liaise with financial institutions, lawyers, tax agents and other internal parties including regulatory bodies on financing and other accounting related matters.
• Perform any other related duties or ad-hoc assignment as and when requested by the superior and management.
• Proficiency in spoken and written Mandarin is an advantage.

Education and/or Work Experience Requirements: 

• Diploma or Degree in Finance, Accounting or equivalent with at least 2 years of finance related working experience. 
• Ability to multi-task and manage time effectively
• Ability to work independently & to carry out assignments to completion within parameters of instructions given & standard accepted practices.
