Prime Function:

Key Responsibilities:

People Management

• Co-ordinate with the other departments to ensure operative effectiveness.

Financial Management

• Assist the Stores Team Leader/ Materials Manager to regularly review the Stores to improve productivity by maintaining stocks, identifying slow moving/nonmoving items, reduce spoilage and wastage & improve material handling and shortages.
• Recommend inventory levels for the goods in the stores to the Finance Department and seek approval.
• Identify optimal, cost effective use of the resources and educate the team on the same

Operational Management

• To ensure maximum security of all storeroom areas, and that no unauthorized person should be allowed the access.
• To efficiently supply the materials to user departments according to standard procedures and ensure to maintain the stores to avoid wastage through loss or pilferage.
• To inform the Stores Team Leader and follow the standard procedures in case of spoilage or damage of any item.
• Ensure to par stock the goods.
• To ensure the timeous and correct completion of all administrative tasks with respect to delivery of goods to the respective departments.
• Check the expiry date of the goods and discard the expired goods.
• Maintain proper records of goods received, goods issued, and quantity of stock & rejected goods.

Hygiene / Personal safety / Environment:

•  Ensures that the workplace and storage areas remain clean and tidy
• Respects the instructions and safety guidelines for the equipment (s)he uses
• Applies the hotel's security regulations (in case of fire etc)
• Applies the ISO 9001 quality certification requirements that impact his/her role
• Respects the hotel's commitments to the "Environment Charter" (saving energy, recycling, sorting waste etc) and meets Novotel' ISO 14001 environmental commitments as applicable to the role, if the hotel is involved in the programme.

Prime Function:

• To direct the activities of the Purchase department and implement the company’s policies, guidelines and procedures to work efficiently and effectively.
• Allocation of suppliers based on the vendor capacity, location etc and the company’s requirements.
• To survey the market and update the knowledge about new products and suppliers available in the market.
• Supervision of Receiving Clerk, handling of Food and Beverage requisitions,  monitoring and control of non food purchases against budget, general items and management of minimum and maximum par level of all store items.
• Any matter which may affect the interests of ACCOR should be brought to the attention of the Management.

Key Responsibilities:

Purchasing Planning

• To prioritize purchases based on resources and urgency.
• Ensure to evaluate user needs and functionality of various materials purchased.
• Ensure that all Licensing laws are adhered to.
• Plan, direct and control all day-to-day Purchasing functions.
• Prepare monthly listing of slow moving and obsolete items and recommend further action

People Management

• Ensure that the team has been trained for all safety provisions.
• Motivate and develop the team to ensure smooth functioning of the department and promote teamwork.
• Provide effective support to the team to enable them to provide a range of effective and efficient services.

Financial Management

• Monitor and maintain inventory records of all the purchases made.
• Identify optimal, cost effective use of the resources and educate the team on the same.

Operational Management

• Prepare and invite tenders, contracts, and other related documents for ensuring a regular supply of materials.
• Ensure to carry out negotiations with vendors, manufacturers and agencies to obtain the best combination of price, quality, quantity, delivery, terms of payment and reliability of supply.
• Investigate and follow-up on complaints received from receiving, stores and user departments about the products and obtain corrective actions from the vendors.
• Keep track of Government Legislations for import of the equipment and materials & also ensure to know the name of the supplier.
• Handle import of equipment and material right from inquiry to the actual purchase. 
• Ensure to replace the materials, if not accepted by the user department.
• Coordinate operations with Department Coordinators, Supervisors and other Departmental Managers to ensure operational readiness, efficiency in resource utilization and the prompt delivery of services.

• Manage the inventory and warehousing activities by effectively forecasting material demands, stock levels, re-order points and resources capacity ensuring product availability.
• Build and develop relationships with key suppliers and customers; internal, local, and overseas while ensuring they are compliant in all areas as specified by company policies & procedures.
• Manage the receiving details and implement corrective actions for dispute resolution.
• Liaise with Accounts Payable Department to ensure accurate and timely payment of invoices, as necessary for the business with the supplier.
• Ensure continuous improvement of processes through team collaboration and technology implementation resulting in improved service levels and reductions in total costs.
• Perform other duties and/or special projects as assigned by immediate supervisor.
• Assists with the monthly/quarterly/annual inventories.
• The Purchaser ensures that Department Managers are informed daily (at the morning meeting) of the goods expected to arrive.
• The efficiency of the Purchasing Department and Stores is to be maintained and improved.
• Is responsible for all matters related to the maintaining of delivery schedules. Informs, on daily basis, the departments as to the items due to arrive.
• Manage purchasing department lifecycle.
