Salary: £43,736 - £52,242 per annum

Role Overview:

The Senior Procurement and Contract Manager will play a pivotal role in supporting the Assets & Estates Category team by developing and managing sourcing strategies and the contracting process. This role involves overseeing supplier performance, conducting market analysis, and ensuring that all procurement activities comply with the London Fire Brigade's (LFB) standards and regulations.

Key Responsibilities:

1. Procurement and Contract Management:

   • Monitor and enhance existing contractual arrangements.
   • Identify service requirements and evaluate existing contracts.
   • Manage major contracts, ensuring compliance and addressing non-compliance issues.
   • Collaborate with suppliers and stakeholders for efficient service delivery.
   • Maintain accurate records of meetings and actions.

2. Tenders and Category Management:

   • Lead procurement strategies for assigned categories.
   • Conduct market analysis and manage supplier performance.
   • Oversee procurement activities from need identification to contract signature.
   • Draft and manage tender documentation and notices.

3. Financial Management:

   • Assist in setting and managing annual budgets.
   • Ensure financial data related to contracts is securely maintained.
   • Evaluate costs, prices, and services for value for money.

4. Reporting:

   • Draft high-quality reports for various management and governance purposes.
   • Maintain accurate project data and identify risks and opportunities.

5. Responsible Procurement and Policies:

   • Implement LFB's "Responsible Procurement" agenda.
   • Ensure procurement processes align with environmental and social objectives.
   • Promote safe working procedures and comply with health and safety policies.

Selection Criteria:

1. Experience:

   • Minimum 5 years of experience in procurement, category, and contract management, particularly in Assets & Estates Services.
   • Knowledge of public sector procurement procedures.
   • Experience in drafting commercial/tender documents and supplier management.
   • Degree in finance, business administration, or similar preferred.
   • CIPS certification or membership is desirable.

2. Skills:

   • Excellent interpersonal and communication skills.
   • Strong numeracy and analytical skills.
   • Proficiency in Microsoft 365 and related tools.
   • Strong organisational skills and ability to manage multiple projects.

3. Knowledge:

   • Understanding of commercial and contract documentation.
   • Awareness of public authority procurement practices and 'best value' principles.
   • Knowledge of health and safety practices within an office environment.
   • Understanding of GDPR, Data Protection, and Freedom of Information Act.

Your new role
You will be working as a Global Procurement Systems Manager, helping the organisation as they kickstart their journey to uniting their global procurement and finance functions. As a system expert, you will be responsible for ensuring the Jaggaer system is used to its full effect by a wide variety of internal and external stakeholders. This will involve providing training to key users and acting as second line support for any complex issues to do with configuration or use of the Jaggaer system. You will be supporting the roll-out of Jaggaer as they continue to implement the system across global territories. You will also lead the relationship between the business and the P2P provider, ensuring the business needs are met, and vendor relations remain at a high level.
What you'll need to succeed
You will need to have extensive knowledge of the Jaggaer P2P system and should be incredibly comfortable with its entire supplier management and contract lifecycle management capabilities. You should be a strong and effective communicator who is able to effectively manage a wide variety of stakeholders at all levels. An ability to configure and change the Jaggaer system to suit the needs of the procurement function is vital as they continue to roll this software out across the organisation. The ability to work independently and effectively manage your own workload is vital for this role.

Main Responsibilities

Team Management & Leadership

• Meet sales goals by leading, managing, mentoring, and providing feedback to a team of full-time and part-time retail associates
• Inspire and motivate team to work towards a collective goal
• Collaborate closely with all other functional team leads, in particular Commercial, Operations, Marketing and People & Culture

Retail Performance & Operations: Customer Care, Sales & Stock Management, Visual Merchandising, Operations, Human Resources, Loss Prevention

• Manage the day-to-day store operations to ensure a seamless and smooth customer experience
• Develop, improve and optimise retail processes to improve productivity and store operations
• Oversee general store administration and ensure compliance with policies and procedures, including goods receiving & transfers and cashier balancing
• Oversee store inventory levels and ensure the highest level of inventory accuracy by monitoring, scheduling and ordering inventory as required
• Conduct Stock Taking exercises at several intervals in the year, or as and when required.
• Maintain outstanding store conditions and work closely with the Visual Merchandising team to optimize displays in-store
• Conduct manpower resource planning for both permanent and temporary retail staff; manage shift schedules and retail staff budget to achieve optimal staffing levels for excellence in the brand's customer experience, according to peak hours, days, and seasonality
• Recruit, coach, and build a robust team of Part Time and Full Time employees who strongly believe and live out the LB vision and mission
• Inspire and enable the team to provide a top notch and considerate service to all customers through training and mentoring
• Develop strategies to enhance the store customer experience and drive sales performance by conducting weekly business reviews to expand our customer base, increase store traffic and optimize profitability.
• Deal with all issues that arise from staff or customers (complaints, grievances etc)

• 5 years of experience in the retail industry, preferably in fast fashion
• 3 years of experience in managing a retail team(s) - both front and back of house
• Extremely customer-centric and genuinely enjoys serving and getting to know customers better
• Strong leadership and interpersonal skills, able to motivate and lead the retail team
• Numerate and tech-savvy
• Open to working various shifts and able to work 5 days a week (including weekends and public holidays). Weekends are where all the magic happens!
