As a Facilities and Compliance Manager of this super prime development you will be responsible for the management of the day-to-day contract, compliance and health and safety matters. You will work closely with the General Manager to ensure high quality service levels are delivered and maintained. You will assist in driving the strategy and vision of the development and delivering the highest level of guest experience, continually striving for excellence.

ROLE DESCRIPTION AND OBJECTIVES -

• To show attention to detail in all aspects of the job, whether it's cleaning back or front of house, and to assist in maintaining the building to the required immaculate level.
• Ensure all compliance matters and health and safety audits are up-to-date and reviewed regularly.
• To ensure consistent knowledge of the service vision and all other service standards or operating procedures and assist the Residential General Manager in their implementation ensuring our residential & guest experiences at the site.

• Responsible for maintaining the highest quality database relating to residents' preferences
• Reactively handling all estate requests from residents to provide creative options in a timely manner through Quick and Efficient Service.
• Assisting the General Manager in the monthly reporting of SLA's & KPI's against each service contract across the development.
• Create a solid and effective working relationships with the teams, stakeholders, contractors and residents alike to ensure needs are met and exceeded - Follow client and department health & safety and security policies and procedures to maintain a clean, safe, and secure environment.
• To ensure COSHH is up to date and the team is trained on and monitor it is adhered too.
• Assist with the delivery and support of the Building Safety Act 2022 where appropriate; ensuring that buildings are safe and feel safe for all stakeholders. - To ensure all training is uploaded to training system and records are up to date for all teams.
• Manage all audit processes to a high standard, ensuring 100% Health and Safety compliance throughout the development.
• Conducting comprehensive and informative handovers with colleagues and ensure that staff meetings are held regularly and staff are informed about engagement activities and opportunities to training and development.
• Encourage and motivate colleagues to perform their best, take responsibility for tasks and assignments, make decisions and provide input on possible improvements.
• To carry out monthly stock takes of supplies and order new as needed.
• Excellent knowledge of all areas the building and plant rooms.
• To ensure that a detailed daily log is maintained for any incidents, resident requests and shift handover.
• Liaising with our health and safety consultant to ensure that all risk assessments on site are up to date and the teams are fully trained.
• Assist General Manager in review and management of operating budgets and the service charge.
• Display a thorough understanding of workplace facilities management and ensure these best practices are implemented.
• Overseeing relationships with commercial tenants and dealing with maintenance faults of occupiers.
• Logging all maintenance issues and ensuring subsequent updates on the sites app to residents and via reporting tools to client.
• Ensuring that works are completed as soon as possible to high standards.
• Ensuring data integrity on all systems in accordance with GDPR.
• Instructing works and managing contractors through to completion via tendering, purchase orders, follow up and direction.
• Maintenance of changes within the crisis plan and out of hours escalation process.

HEALTH & SAFETY

• Be aware of, and conversant with the 'Health and Safety at Work Act', complying with the regulations set down to ensure the safety of our stakeholders.
• Record all accidents and incidents according to H&S Policy.
• Attend fire lectures and drills in accordance with the law, and to be fully aware to the position of fire alarms, emergency equipment and exits.

• Carry out and record the results / outcome of weekly, monthly, and other cyclical checks, testing and maintenance routines, including but not limited to Fire Alarm testing, Emergency Lighting testing, Smoke Ventilation system testing and Lift Line testing.
• Ensuring maintenance tasks are meticulously completed and recorded in the relevant systems.
• Undertake maintenance tasks not limited to but including - bin movements, refuse chute / area maintenance, light bulb replacement, painting, decorating, plaster repairs, minor internal and external maintenance repairs to hard surfaces and soft services.
• Ensure all tools are maintained and kept securely, only used by authorised personnel.
• Pressure wash / clean areas of the development as and when needed.
• Carry out any touch up paint work in communal areas within the buildings, as and when required.

Role Purpose:

An enthusiastic individual with previous experience of working in a similar role in a corporate environment is required to provide 'front of house' and facilities management support for both of our Canary Wharf and King's Cross offices. The offices have been designed to provide a bright, modern and flexible working environment to encourage collaborative working practices and the Facility Assistant will be expected to support the Facilities Manager, the Facilities Supervisor and the other Facility Assistants to ensure our offices are maintained and managed to an exceptional standard. The shift patterns are expected to be between 08:00-17:30 Monday to Friday. Occasionally different working patterns or additional hours may need to be worked to cover operational requirements, sickness or holiday leave.


What you'll be doing

Reporting to the Facilities Supervisor and working with the existing Facility Assistants. There will be a wide range of duties including as a minimum the following: -


Front of House
Located at the reception desk, the Facilities Assistants will be the first point of contact for external visitors and will be expected to provide First Class front of house/reception services to include the management of visitors, telephone answering dealing, dealing with queries raised through the shared mailbox, dealing with all day to day queries raised by employees, visitors and contractors to the site which are raised either in the work flow management system or directly. You will be expected to assist with the provision of other services/support as required.

Meeting Rooms
The Facilities Assistants must ensure that the meeting rooms are maintained to an exceptional standard at all times and will be responsible for managing the booking system, checking/clearing rooms between meetings, carrying out operational checks of equipment and arranging hospitality with the on-site caterer as required.

Mail room
The Facilities Assistants will be responsible for incoming/outgoing post including distribution to recipients and liaison with the landlord's courier room as necessary.

Other Duties

Carrying out general admin support duties as and when required.
Management of the access control system, issue of passes to all staff and liaison with the landlord for building passes etc.
Ordering and replenishing kitchen and office consumables, ensuring the tea point areas are maintained to an exceptional standard throughout the day.
Responsible for stock control in various areas including stationery and proactively stocking up print stations.
Providing support to the Facilities Manager and Facilities Supervisor as required, including admin support, assisting with the management of hard and soft FM contractors, assisting with the effective maintenance of the space, assisting with production of the annual budget and ensuring up to date records are maintained for the facility.
Proactively reporting any maintenance issues around the building and following through to resolution.
