The Housekeeping Aid Supervisor exercises technical and administrative supervision over subordinate workers in supporting and performing tasks (e.g., environment of care, textile distribution and training) associated with the EMS goals and objectives. Major duties and responsibilities will include but are not limited to the following:

• Assigning staff for duties on a daily and a project-by-project basis;

The Lead MSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow. Assignments at this level include, but are not limited to: assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments; providing guidance to staff members to include changes in policies and procedures; distributing and balancing workload; creating and maintaining employees work schedules; orienting and providing on-the-job training for new and current employees; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as liaison between MSA and staff in order to resolve day to day conflicts.

The Lead MSA will have the responsibility of performing the duties related to the Beneficiary Travel Program which includes assuring travel requests are processed in a timely manner and that they are reviewed and appropriate documentation completed before sending to Has or Fiscal Service. The Lead MSA will also train the MSA staff on how to process the beneficiary travel requests. The Lead MSA must assure that the requests entered by the MSA staff are reviewed by the Lead MSA or Supervisory MSA and if the requests are entered by the Lead MSA, they are reviewed by the Supervisory MSA or Supervisory Medical Administration Specialist/designated management staff.

When assisting the MSA staff in the check-in process, he/she must use each interaction with the patient to validate and update patient demographic information, either in person during check-in or over the phone, to decrease the incidence of returned mail due to incorrect addresses and inability to contact patient by phone due to incorrect number.Assures MSA staff explains the VA's mandate to collect insurance information to veterans, their families, and other eligible patients.

Assures staff collects, scans, and updates health insurance information serving a major role in the revenue process. The incumbent(s) contributes to the revenue collection process by identifying patients with third party insurance. Promotes veteran registration for and utilization of MyHealtheVet (MHV).

Assures front line contact with patients and staff by setting the tone for perception concerning quality of healthcare services at the VA. A high degree of tact and diplomacy is required when dealing with veterans who have multiple health problems and who may be frustrated with the administrative process associated with diagnosis and treatment. A caring, compassionate and sensitive manner is essential when explaining procedures to veterans and their family members both in person and on the phone. When records are received, the incumbent(s) will ensure that all necessary health/administrative information are integrated into Computerized Patient Record System (CPRS) by sending the documents to the appropriate department for scanning.

Incumbent(s) must be able to train staff on the requirements of VHA Scheduling Directives and complete accurate scheduling responsibilities:
a. Schedule appointments and utilize the Electronic Waiting List accurately in a timely manner. All appointments will be made with the patient's input, either in person or by phone. This may require a high level of coordination to avoid patients having to make multiple trips to the medical center or clinic whenever possible.
b. Notifies his/her supervisor when clinic access is less than desirable or if an individual patient cannot be scheduled within mandated clinic timeframes.

The Memory Disorder physician will be part of an interdisciplinary team of health care providers, caring for Veterans with dementia. The physician will be assigned to the Neurology Service and will see patients at the North Charleston and Charleston Neurology outpatient clinic. This involves outpatient neurologic consultations, review of screening results completed by the Neuropsychologists and development of treatment plans and future care for veterans. The Should the Memory Disorder physician will collaborate with other cognitive specialists from neurology, geriatrics, geriatric psychiatry, and social work services in the interdisciplinary management of dementia patients. Anti-amyloid infusion therapy and Amyloid Pet Scans are available to the physician at this facility. Suitable candidates will be offered up to 50% of unassigned clinical time for research purposes. This research will be conducted under the umbrella of the state-of-the-art VA Brain Health Center and National Coordinating Center for Research on Alzheimer's Disease and Related Dementias. Should the Memory Disorders physician have a need to refer patients to a subspecialist, these patients can be sent to the Charleston VA neurology clinic for consultations in the fields of epilepsy, headaches, movement disorders, neuromuscular medicine and , MS, and dementia. Charleston VA Neurology Service also has EEG/EMG testing, neurology inpatient service and an epilepsy monitoring unit and is partnering with the academic affiliate, Medical University of South Carolina, on educating medical students, residents and fellows. available. The interaction between the North Charleston Memory Disorder neurologist and the Charleston VA subspecialists will be of collaborative and interactive nature outpatient care and services.

• Prepares all paperwork and computerized tracking utilizing the Veterans Personal Finance System (VPFS) for deposited or unclaimed money
• Daily reconciles the amount of funds on deposit with fiscal service records
• Serves as technical advisor to social workers and others in the disbursement of funds on deposit for patients being placed in Community Living Center and/or other patients with fiduciaries or conservators
• Serves as liaison with DAV Travel Network
• Acts as technical expert to the DAV Travel Office relative to criteria, VA Policies and procedures relevant to transportation activities
• Distributes and balances the workload among employees in accordance with established work flow or job specialization, assure timely accomplishment of the assigned workload, and assure that each employee has enough work to keep busy
• Maintains records of work accomplishments and time expended and prepare production reports as requested
• Gives on the job training to new employees in accordance with established procedures and practices
• Approves leave for a few hours or for emergencies
• Provides information to supervisor as requested concerning promotions, reassignment, recognition of outstanding performance, and personnel needs
• Performs other related duties as assigned

The primary duties and responsibilities of the Lead Medical Support Assistant includes but is not limited to the following:

• Lead MSAs are responsible for leadership of outpatient medical support assistants. The Lead MSA provides comprehensive, detailed, on-the-job training to all new clinic personnel in the clinic unit area.
• The mission of this section is to provide administrative and clerical assistance, guidance, and support to the professional staff and to manage the day-to-day activity in Outpatient Clinics using established policies and procedures as they relate toambulatory care outpatient clinics.
• The incumbent functions as a Lead Medical Support Assistant under the direct supervision of the On-Site Administrative Officer.
• Incumbent is responsible to the Supervisor for assuring that the work of their assigned teams is carried out by performing a range of coordinating and supportive duties and responsibilities.
• The incumbent is expected to organize work, delegate tasks, and set priorities to meet deadlines.
• The incumbent articulates and communicates to the team the assignments, projects, or problems to be solved, or other events or issues that need attention or review, and deadlines or timeframes for completion.
• Ensures that all team members are aware of, empowered and participate in planning for achievements for team goals and objectives.
• The incumbent is responsible to make personnel assignments and to ensure that adequate coverage of assigned clinics is always maintained.
• The incumbent is responsible for assisting with the development of materials and maintaining a current and comprehensive training program assigned to keep assigned employees informed of all changes in policies and procedures.
