About the Position 

Are you organized, proactive, and passionate about supporting communications?

We're looking for an Office Administrator to provide comprehensive administrative and planning support to the Communications and Marketing Department, ensuring the smooth operation of all activities.

In this role, you'll provide high-level secretarial support to the Global Communications Lead, facilitating the efficient execution of their responsibilities. You’ll work closely with team members, staff from other departments, and the WorldFish Global Communications Network to ensure seamless communication and collaboration across the board.

The successful candidate will provide comprehensive, efficient and effective operations administrative support to the Communications and Marketing Department, including but not limited to:

Operations and Office Administrative Support

• Responsible for delivering overall and day-to-day effective administrative support services to Global Communications Lead and the Communications team.
• Act as focal point for the Communications department of WorldFish to manage and coordinate responses from relevant departments/staff to public emails received via the general WorldFish and CDRD mailboxes.
• Responsible in handling all procurement process matters related to the needs of the department, including submission of purchase requests, purchase orders, and goods receipts the expenses via OCS electronic system.
• Assist the Publishing and Operations Manager in managing the Communications department’s vendors and consultancy contracts, including requesting for quotes, processing contracts, routing for system clearance/ approval, setting up payment schedules, and coordinating invoice submission.
• Assist the Publishing and Operations Manager in managing the Communications helpdesk inbox by ensuring requests / queries are assigned to the relevant team members.
• Responsible for organizing travel arrangements, including coordination on visa applications, flight itineraries, logistic arrangement (accommodation and transport) and documentation pertaining to travel requests for Global Communications Lead.
• Responsible for updating and maintaining the department’s shared folder (e-filing) for institutional record and reference purposes.
• Responsible for administering the procurement of office supplies, equipment and digital subscriptions.
• Manage monthly corporate credit card reconciliations and process travel claims and expense liquidations.

Team Support: Planning, Meetings & Coordination with other Departments

• Schedule and hold weekly Communications team meetings on behalf of Global Communications Lead and be responsible for centrally tracking status on team’s tasks and priorities.
• Schedule and coordinate all strategic meetings of the department (internally and with research project and country teams) on corporate communication priorities, annual work plan, special events and campaigns and is responsible for drafting and disseminating meeting agenda, minutes and action points.
• Responsible for coordinating the quarterly meeting for the WorldFish global Communication Network team on preparations for special events and campaigns and is responsible for drafting and disseminating meeting agenda, minutes and action points.
• Provide printing and shipping support on marketing and communications products, banners, posters, publications, and other collateral materials to country offices and event venues as needed.
• Manage other tasks as allocated by the Global Communications Lead and the Publishing and Operations Manager to support the overall accountabilities and ensure priorities of the department are met.

Event Planning and Logistics

• Provide logistical support for internal and external WorldFish events, including managing venues, materials, and catering.
• Coordinate speaker and delegate photos and bios for international conferences and assist with event registration and scheduling.
• Maintain events calendar for important global and regional communications activities.
• Provide additional support for the Centers visitors program and ensure smooth operations.

Team Summary

The Southeast Asia corporate communications team creates and delivers communications programs that drive Visa’s business growth and advance and protect the company’s reputation across the region. Within this team, the Singapore, Malaysia and Thailand markets are grouped together, with a dedicated team delivering communication programmes across this dynamic cluster. In addition, the team also looks after Global Clients including Citi, HSBC and Standard Chartered Bank for Asia Pacific, and Global and Regional acquirers.

Billing Operations

Manage the media billing processes which involves,

• Co-coordinating with media planning teams on billing instructions
• Media plan actualization and reconciliation on monthly basis
• Update spots and remarks on Publicis’s proprietary billing platform based on actualized amount
• Generate proforma invoices for shared service team’s approval
• Resolving billing discrepancies with relevant stakeholders e.g. media vendors, media, finance and shared service teams
• Billing status monitoring and reporting
• Participate in finance WIP billing meetings to make sure Client's invoices get processed and meet billing timelines.

Other billing requirements include,

• Support requirements for onboarding of new suppliers
• Ensure 100% billing completion within three months of activity end date
• Resolve/respond to client billing queries

Media Buying (Offline and/or Online)

• The day-to-day media buying for the agency
• Deliver excellent master contract pricing through negotiation and relationships with media owners, wherever applicable
• Develop understanding of client business and role of online in delivering objectives ways of working from planning to getting approval and billing process
• Deliver added value opportunities across clients wherever possible
• Book all campaigns according to the brief (with confirmed media) and ensure financials are correct
• Monitor campaign delivery and reconcile any under deliveries
• Assist with auditing process across specific client base
• Follow through the closed job for invoicing process (incl. (proof of ads, supplier invoices, TV reporting, signed schedule)
• Constantly monitor performance and delivery of ad server and vendor reporting. 
• Monitor and report on clients’ expenditure update by campaign by media, if needed
• Keep track of clients’ media master contract fulfilments
• Prepare CI for all mediums and help Planners manage all material submission timelines
• Maintain co-ownership of WIP report with finance team, ensure that jobs are progressively reconciled and closed

We’re looking for an enthusiastic and creative Social Media & Content Specialist to help us engage with our audience through exciting and relatable storytelling. In this role, you’ll have the opportunity to build your skills and learn how to craft our social media voice.

Reporting to our Social Media Lead, you’ll collaborate with our marketing, business development, and customer experience teams to support the growth of our social media channels and online community. Your primary responsibilities will include assisting in the creation and distribution of valuable content across social platforms like Instagram, Facebook, YouTube, and LinkedIn, helping us share content that our followers love.

Key Areas of Responsibility:

• Generate original content for a range of marketing and communications materials.

Job Description

• Completion of all works within the timeline and the time parameters is set based on SLA and company target.
• Scanning, news searching, editing, data entry and consistently high standard of translation quality. 
• Ensures high quality and relevancy of translation - translation is clear, concise and free of typographical errors
• Maintain a high level of work quality with zero human error.
• Communicate and escalate any issues with operations, quality or delivery to the Team Leader or Press Manager in a timely manner.

The Marketing Communications Intern will assist the Marketing Communications team in planning and executing marketing communication strategies for both our segments (Investor and SME). 

The role covers executions to track and analyze marketing initiatives performance ( i.e. prepare performance report, etc ) as well as assist with other marcomm tasks.
