The Technology Division creates digital experiences for and delivers information technology services to the National Geographic Society. From our staff to our constituents, Technology provides the power to amplify National Geographic’s impact through value-based product delivery, transformational data services, and world-class support and infrastructure services. These services include employee training and technical support, audio/visual production, device management, enterprise architecture, network management, on-premise and cloud computing, information security, identity management, data management and integration, product management, user experience design, software development, systems engineering, and systems administration. Technology is comprised of five teams: Business Products, Constituent Products, Data Products, Infrastructure & Security, and Technology Support Services.
Job Profile Summary
The Technology Business Manager is responsible for coordinating and managing the financial/accounting and administrative office duties for the Technology Department. Primary responsibilities include but are not limited to purchasing and accounts payable, financial management, inventory management, and other office and administrative tasks. This position requires a significant amount of communication and collaboration within Technology and with other NGS divisions to ensure timely and accurate processing. The position also works with management to develop, track, and report on key performance indicators in financial management and other areas.

Your Impact
Responsibilities Include:
Purchasing & Accounts Payable (60%)
Processes purchase requisitions, purchase orders, and verbal/electronic orders, including facilitating legal review of orders and contracts.
Processes invoices and expense reports and tracks ongoing technology spending activities to ensure alignment with budgets and forecasts.
Oversees and accurately uses the repository of department-specific accounting codes for technology-related financial transactions.
Ensures all purchased items have an entry in the master configuration management database (CMDB) prior to purchases being approved or when received.
Monitors expenditures against purchase orders and performs related closeout processes. Tracks and manages consumption-based services and alerts management or other stakeholders of cost increases compared to forecasts.
Manages vendor relationships as directed.
Financial Management Reporting (25%)
Performs financial management reporting tasks including complex costs analysis, key performance indicators, and other operational metrics.
Works with Technology management to prepare annual budgets and quarterly forecasts for review by management.
Reconciles monthly expenditures and produces regular and on-demand budgetary reports.
Administrative Office Support (10%)
Provides the management team and all department staff members with general office support, including maintaining office supplies and submitting contracts for Legal review.
Drafts, reviews, and publishes informational communications that are sent to all staff including service outage notices, incident patterns, tips and tricks, etc.
Maintains a repository of department policies and procedures.
Inventory Management (5%)
Receives equipment and software licenses, and compares goods received to original orders.
Uses software license management system to track license assignments and make regular recommendations for increasing or reducing quantities.
Collaborates with various teams to ensure inventory records are accurate and LEED standards for technology equipment are maintained.
Generates inventory reports upon request.
What You'll Bring
Educational background
Bachelor’s Degree or equivalent experience.
Minimum Years and Type of Experience
5+ years of office management experience with purchasing, accounts payable, cost analysis, inventory management, and budget tracking.
Experience with non-profit and/or technology industry work environments is a plus.
Necessary Knowledge and Skills
Strong organizational skills with superb attention to detail, particularly with coding financial transactions.
Efficient problem-solving skills and excellent adherence and contribution to operating procedures.
Possesses a “systems mind” that can analyze and provide accurate information for complex financial management requests or key performance indicator data.
Experience in designing, implementing, and improving workflow especially in an environment with shifting and competing priorities.
Outstanding customer service and communication skills, verbal and written.
Has strong spreadsheet skills in Google Sheets or Microsoft Excel with knowledge of mathematical, logical, data, and text functions.
Experience using a workplace innovation platform such as Airtable, Jira, or AppSheet.
Experience using ERP systems for processing financial transactions, preferably Workday.
Familiarity with budget tracking and reporting.
Ability to collaborate with senior management staff including C-level executives.
Self-motivated and able to work with minimal supervision.
Ability to function in a dynamic environment subject to changes in schedules and priorities.
Positive attitude with proactive approach.
Ability to interact positively and productively with teams across organizational lines.
Desired Qualifications
Experience planning and managing work using agile methodologies such as Kanban.
Experience diagramming, documenting, and explaining business processes with words and pictures.
Comfortable working with multiple different personality types.
Project management experience is a plus.

The salary range for this position is $77,400 - $91,000
Pay offered to candidates will be based on several factors including but not limited to industry-based or other relevant work experience, education, skills, certifications, and training.

Job Designation

As a result, the majority of our staff are Hybrid. Our Hybrid category requires that staff work at Base Camp two days each week: every Tuesday and Wednesday. Hybrid staff are also always welcome to come in additional days each week if they prefer.
