Summary of Senior Account Executive – Income Auditor (IA), General Cashier (GC), Payable (AP), General Ledger (GL)

To ensure proper and correct posting and mapping in AR / AP / Inventory / Revenue / Receipt / GL modules and others related in system both manually and software. 

To ensure all revenue and expenses are taken up and booked accurately into accounting system and monthly management reports are produced in timely manner as required by the holding company.

To ensure all accounting entries are appropriately performed with accordance to Malaysia Accounting Standard and are in line with Hotel Policies and Standard.

To directly assist Financial Controller in day-to-day Finance & Accounting operations, accounting matters, audit and other Finance administrative tasks as and when it is required.

Duties and Responsibilities :

a) Income Auditor

1. To coordinate the daily functions of Night Audit and Income Audit are performed with accordance to Hotel Accounting Standard and Company’s policies.
2. Reconcile all other Miscellaneous Income in PMS and prepare itemized listing for each income for tax purposes.
3. Input all income and payment into Daily Revenue Report and to tally with Guest Ledger, Deposit Ledger and AR Ledger movement.
4. Prepare daily revenue report complete with statistic of Room and F&B. Distribute to department head timely basis.
5. Prepare daily revenue journal, ensuring that revenues have been classified to the correct general ledger code and import by GL on daily basis into Q3 Financial System.
6. Review Rate Variance Report and notify Financial Controller on any unauthorized discrepancy.
7. Review and audit Room Discrepancy Report (Maid Room Checklist against Front Office system room status).
8. Conduct physical spot check on ‘000’ and ‘0S’ Room on timely manner or as assigned by Financial Controller.

b) General Cashier

1. Monitor compliance with hotel policies for House Banks, Daily Banking of Cash and Foreign Exchange Policies (if any).
2. Collect daily cashier envelopes from drop safe in presence of a witness each morning. Open and count contents of each envelope in presence of a witness and record cash totals on general cashier report. Ensure witness signature is obtained.
3. Conduct bank trip to deposit daily cash collection into respective bank account in presence of at least one witness via Hotel registered vehicle or any mean of transportation as approved by Financial Controller.
4. Prepare daily General Cashier report and forward to Financial Controller for review.
5. Responsible in posting Bank In Slip for cash collection and clearing the Cash Clearance Ledger.
6. Responsible in updating Cash Receipt in Bank Reconciliation Statement.
7. Process Petty cash and as required and reconcile weekly.
8. Reimburse approved petty cash claims to departments on a timely basis and submit Cashier float reimbursement cheque request to AP Shared Service when the amount fall to minimum PAR of RM1,000.00 (One Thousand).
9. Compile cashier overage/shortage report and ensure report is routed to department head for review then submit to Financial Controller at end of each month for review. Investigate any individually significant variances on a timely basis and report any unexplained variances to the Financial Controller.
10. Ensure General Cashier float is counted with an independent witness at least once per month and to conduct surprise float check at all outlets.
11. Ensure all house floats are supported by current, fully completed and approved house bank contracts and recipient fully understands contract per hotel policy.
12. Ensure house float is returned by any terminating employees. After float has been returned, cancel float contract and send a copy to Human Resources, retaining the original for your records.
13. To maintain the safety of GC Safe Deposit Box and Drop In Safety Box keys and passwords at all time.
14. To maintain sufficient small notes for operation use.

c) Accounting General

1. Prepare and post journal vouchers of all accrual expenses.
2. Perform reconciliation on accrual accounts and to tally with General Ledger and update in reconciliation schedule at month end.
3. Perform Bank Reconciliation and ensure the Cash Book in General Ledger is tally with Bank Statement on 30th or 31st monthly.
4. Undertake any other tasks as requested by the Financial Controller from time to time.
5. Bring to the attention of the Financial Controller any matter requiring attention.
6. To co-ordinate with all Head of Departments on monthly reports for account closing purposes and ensure reports are received on timely manner (eg. Utility, Inventory, Kitchen Inter-Transfer, Store Issue etc)
7. To validate and verify the Verification & Approval Form (VAF) before Account Assistant sending out via HelloSign.
8. To co-ordinate with Account Assistant and Account Officer that all balance sheet reconciliations are performed on timely manner.

Financial Closing

• Perform monthly and yearly financial closing – to ensure all information are proper recorded.
• Perform Balance Sheet reconciliation on monthly basis – to ensure the accuracy and properly classified of transactions.
• Responsible for recharges to and from intercompany.

Account Payables

• Ensure that expenses allocation to business unit and complied with Company Policies and Local regulation.
• Payment process – assembling and verifying the accuracy as well as the completeness of supporting documents of Suppliers’ Invoice with Purchase Order and Delivery Order in procurement system, prepare Payment Vouchers in accounting system and perform payment in the bank electronic payment system on a timely manner to avoid any late payment charge.
• To be the contact point for the vendors on day-to-day financial related issues including reconciliation of the vendors’ ledgers.
• Procurement analysis – to ensure purchases are in accordance to procurement policies and follow up on status of goods received and invoice from vendors.

Contract Management

• Contract management – to ensure compliance with procurement policies.

Others

• Continually update SOPs, check and balance actions, identify and drive accounting and finance process efficiencies and improvements.
• Assist in handling cash flow management, audit and tax matters and liaise with relevant authorities and bodies.
• Involvement and support in projects including accounting related system upgrade or customization, procurement and yearly sub-actions.
• Any ad-hoc duties as and when required.

Reporting to Head of Sales Excellence of Region AA, you will play an important role of providing the analysis on how we can make our distribution in the market becomes more effective and efficient. You will need to come up with a model and framework on how we want to expand our distribution in the region that can support our long-term growth target.

The distribution framework must support our country sales organizations across Asia, Middle East and Africa in engaging with our customers, which based on strategic partnerships, supported by data you developed our performance-based distribution partnerships.

The responsibility of this role will be as below :

• Analyse sales data in the region Asia, Middle East and Africa on channel mix and provide recommendations to optimize our go to market approach for the region.
• Develop overall go to market approach for the region based on the analysis above.
• Define leading measures and KPIs to the approach and framework.
• Monitor the progress of the approach and make necessary actions to make sure the approach is working.
• Work closely with cross function team, include commercial team (sales and marketing) in both the region and countries, legal and compliance team.

Job Description:

• Entering and uploading transaction reports and invoices into company databases
• Sorting, coding, matching and filing invoices, expense reports and complete and incomplete transactions
• Organizing and maintaining creditor and vendor files and corresponding with vendors and creditors
• Preparing and processing electronic payments, transfers and financial transactions
• Processing incoming payments and accounts and ensuring compliance with financial regulations and procedures
• Evaluating reports and verifying discrepancies to resolve client billing issues and to finalize client payments
• Maintaining accurate records and providing documentation for auditing and tax reporting purposes
• Perform bank reconciliation and payment records verification
• Perform supplier reconciliation
• Perform various reconciliation for amount received or invoice/PO/DO before requesting for payment
• Prepare weekly reports on accounts receivable, aging and unbilled amount
• Prepare weekly reports for payable amount, budget (to manage liquidity) and operating expenses
• Resolve any discrepancies and ensure all clear
• Follow up with the collections from relevant parties
• Perform other ad-hoc tasks assigned

Job Requirement:

• Candidate must possess at least a Professional Certificate, Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree in Finance/Accountancy or equivalent from a recognized institution
• At least 1 years of relevant working experience. Experience in property development industry is an added advantage
• Detailed with excellent problem-solving skills, proactive and able to meet tight deadline.
• Knowledge in IFCA.net and SQL system will be an added advantage
• Well verse in Microsoft Office software
• Possess good analytical skills, meticulous, positive working attitude, committed, good interpersonal skills and follow up skills.
