Job Description:-

1. Assist in verifying all supplier invoices or others have been approved, processed and taken into accounts timely and accurately for closing purpose.

2. Assist to process payment to all approved supplier invoices within the credit term and in accordance with approved procedures.

3. Perform creditor reconciliations for suppliers to ensure all transactions have been properly taken up and to detect error.

4. Ensure filing is done timely and properly for easy retrieval of information.

5. Assist in administrative activities and/or undertake special assignment to learn more about accounting and office operations.

6. Perform any other task and assignments as directed by the Management from time to time.

Reporting to the Associate Director, the purpose of this job is to effectively manage accounts payable and receivable processes, prepare reconciliations and aging reports to ensure accurate financial transactions and reporting. As a part of a global team:

• Ensure the timely and accurate creation of client invoices and credit memos.
• Resolve invoice discrepancies and issues in a timely manner.
• Maintain client/fund data on system.
• Maintain client agreements.
• Record daily bank cash receipts and allocate cash receipts to invoices on the general ledger.
• Provide detailed variance analysis on monthly revenue reporting.
• Prepare Accounts Receivable Aging reports for management.
• Track and monitor aged receivables and work in progress.
• Liaise with Client Operations team on billing queries, aged receivables, WIP and unidentified cash receipts and escalate within guideline timeframes.
• Support in managing shared mailbox.
• Responsible for preparation of payments and the verification of supporting documentation, ensuring proper approvals.
• Responsible for the timely and accurate processing of accounts payable such as utilities, government related taxes and fees, employees’ credit cards and expense claims.
• Assist with the provision of supporting documentation to enable tax specialists to prepare tax returns. Associates assist with any queries arising through the taxation process. Associates prepare and submit HST returns.
• Responsible for liaising with Vendors and Internal Clients for queries.
• Diligently follow internal control procedures and maintain audit trail with supporting documentation.
• Assist with requests relating to internal and external audit queries.
• Perform other duties as assigned and incidental to the work described above.

Ensure sales, collections and approved customers’ claims (CN, rebate, contributions, etc.) have been taken into accounts timely and accurately for management to make decision.

Responsibilities:

• Ensure all transactions have been taken into accounts timely and accurately for closing purpose.
• Process CN / DN timely and accurately upon request from Operations.
• Ensure Sales have been timely and accurately taken up in JDE.
• Ensure all collections have been accounted for timely and accurately and offset promptly.
• Update daily AR Cash Book for monitoring cash flow purpose.
• Ensure all approved customers' claims (CN, rebate, contributions, etc) have been taken up and offset timely and
• accurately in JDE.
• Ensure contra with AP is done promptly.
• Issue Debit/Credit Note timely and accurately to inter-companies.
• Ensure Statement have been checked and released timely to customers and Operations for collections purpose.
• Ensure filing is done timely and properly for easy retrieval of information.
• Ensure integrity issues in JDE are cleared promptly so as to maintain the accuracy of the financial information.
• Perform Debtor Reconciliations to ensure all transactions have been properly taken up and to detect error.
• To highlight errors, unusual items or irregularities to superior immediately.
• Perform other tasks and assignments as directed by the Management from time to time.
